Tip log spreadsheet

Updated October 5, 2026 · 2-minute read

What’s inside

  • Tip log: one row per shift, with 400 rows ready. Type the date, the job, clock-in and clock-out times, the break in minutes, sales, cash, card, what you got from a pool, the tip-out and who got it. Hours and “Kept” fill in on their own.
  • By month: type the year in B1 and each month adds up its shifts, hours, sales and tips, with the year’s total underneath.

“Kept” is cash + card + from pool − tip-out: the tips you report to your employer and on your return (IRS Publication 531). Hours are clock-out minus clock-in minus the break, and a shift past midnight works.

Opening it in Excel, Google Sheets or Numbers

  • Excel: open the .xlsx. The formulas calculate as soon as it opens.
  • Google Sheets: File › Import › Upload, and pick the .xlsx. Both sheets and their formulas come with it.
  • Numbers on an iPhone or a Mac opens the .xlsx too.

Or let the app keep it

Typing a row after a double is one more chore. PayJar takes the tips when you clock out, figures what you kept with your tip-out rule, and keeps the month and year by job. Its own export to Excel and CSV is free, with the same kind of columns: cash, card, pool, tip-out and net tips per shift. More on what to log in how to keep a tip log for taxes.

Questions

Does it work in Google Sheets?
Yes. Import the .xlsx (File › Import › Upload) and the formulas come with it.
Why are Hours and Kept empty?
They fill in once a row has its times or its tips. Type the clock-in and clock-out as times, like 4:00 PM.
How many shifts fit?
400 rows, about a year and a half of five shifts a week. Copy the last row down for more.

A record for your own use, not tax advice. The IRS’s own daily record is Form 4070A, in Publication 1244; this sheet asks for the same things.
